A missed cost is tax you overpay
A business pays tax on profit. Every legitimate cost you fail to record makes the profit look higher, and the tax with it. Most missed costs are small, paid in cash or on a card, and the slip is gone by month-end.
What SARS expects
Keep proof of each cost for five years. A VAT-registered business claims input VAT only with a valid tax invoice from the supplier, so keep the supplier's tax invoice for anything you claim VAT on.
Flagged, not decided for you
Bookkeeping & Invoicing flags costs that may be deductible and names the section of the Act and the proof to keep. A write-off scan of your whole books runs several times a month. Whether a cost qualifies is still a call for you and your accountant.
From cost to year-end
Recorded costs flow into the ledger, the VAT201 figures and the year-end pack, so your accountant gets the year in one ZIP instead of a box of slips.
