How late do South African small businesses get paid?
Late. Xero's 2025 South Africa Late Payments Report found that 91% of small businesses are affected by late payment, and that invoices are settled on average 18 days after their due date 1. On 30-day terms that means a sale made at the start of one month turns into cash closer to the end of the next.
For a business with salaries, rent and suppliers to pay on fixed dates, those 18 days are not an inconvenience. They are the gap that gets filled with an overdraft, a delayed supplier payment or the owner's own money.
Why do invoices get paid late?
Some customers pay late because they can. Most late payments, though, have a duller cause: the invoice reached the wrong person, arrived without the detail the customer's accounts team needs, or was sent days after the work was done. Each of those adds days before the clock on your terms even starts.
The usual causes, in the order they cost you time:
- The invoice goes out late. Work finished on the 3rd, invoice sent on the 20th: you have given away 17 days of credit nobody asked for.
- The invoice is incomplete. A VAT-registered customer needs a valid tax invoice to claim the VAT back, so an invoice without your VAT number, their details or a clear description is returned or parked 2.
- Nobody agreed the terms. If the quote did not say when payment is due, the customer's own policy decides, and it is rarely in your favour.
- Nobody follows up. An overdue invoice that nobody mentions drifts to the bottom of the pile.
- Paying is awkward. Every extra step between reading the invoice and paying it is a reason to do it later.
What must a South African tax invoice show?
If you are a VAT vendor, SARS sets out what makes a tax invoice valid. A full tax invoice carries the words "tax invoice", "VAT invoice" or "invoice"; your name, address and VAT number; the customer's name and address, and their VAT number if they are a vendor; a serial number and the date; a description of what was supplied; the quantity; and the value, the VAT and the total 2. Below a set amount an abridged tax invoice is enough, and SARS publishes where that line is. A tax invoice must be issued within 21 days of the supply 2.
Getting this right is not only about compliance. It removes the commonest reason a customer's accounts department gives for not paying yet.
Which habits get invoices paid sooner?
| Habit | What it changes | How much work |
|---|---|---|
| Agree terms on the quote | The due date is settled before work starts | One line on every quote |
| Invoice the day the work is done | The credit period starts at once | Easy with a quote that converts to an invoice |
| Send complete tax invoices | No invoice comes back for a missing detail | Set up once |
| Take a deposit on bigger jobs | Part of the money arrives before you spend on materials | One line on the quote |
| Send monthly statements with ageing | Account customers see every unpaid invoice and how old it is | Automatic with software |
| Remind before and after the due date | Overdue invoices stay on the customer's list | Automatic with software |
| Make paying one click | Removes the last excuse | A payment link on the invoice |
Should I charge interest on late payments?
You can agree interest on overdue amounts in your terms, but it only helps if the terms were accepted before the work started and you are prepared to enforce them. For most small businesses, the faster win is the list above: a clear due date, an invoice on the day, a deposit on big jobs and steady, polite reminders. Ask your attorney before you add interest or collection costs to your terms.
How does software help?
Every habit in the table can be done by hand. The trouble is that the business owner is usually the one doing it, at night, after the real work. In Bookkeeping & Invoicing, a quote the customer accepts online becomes the invoice in one tap, tax invoices carry your registration numbers on every document, and statements with 30, 60 and 90-day ageing go out by email. From the Intermediate plan, deposits and progress invoicing, pay-now buttons on your invoices, recurring invoices sent on schedule and reminders that chase late payers are added. Plans start at R190 a month.
None of it changes a customer who has decided not to pay. What it changes is the large group who would have paid on time if the invoice had been right, on time and easy to pay.
