For a South African hotel or guesthouse the strongest case for AI is the enquiry that arrives while nobody is on reception — which, for most properties, is more than half of them. A trained chatbot answers a Munich family at 22:00 in German, quotes the right rate for the right season, and captures the booking that would otherwise go to whoever replied first in the morning.
Where does a guesthouse actually lose money?
Almost never on the room. Nearly always on the reply:
- The after-hours enquiry. International guests are booking in their own time zone. A message sent from Europe at 21:00 CET lands at 22:00 SAST, and gets read at 08:00 — nine hours after three other properties have already answered.
- OTA commission you did not need to pay. Guests who cannot get a direct answer book through Booking.com or Airbnb instead, and the commission on that stay is the price of a slow reply.
- The season question. Rates, minimum stays and availability change by season, and a guest who cannot get a straight answer about December assumes the worst.
- The repeat questions. Parking, load-shedding, breakfast times, whether the pool is heated, whether the dog can come, how far it is from the airport.

What does it cost?
A single guesthouse is a Starter build: R299 a month plus R250 once-off — R549 at checkout. Most properties that want extra European languages and a link to their property-management system land on Pro at R1 199 a month. Month to month, no contract, priced in rands rather than converted from dollars.
Set that against a single commission-bearing booking. For most properties the monthly fee is less than the commission on one direct booking recovered.
Does it connect to my PMS or channel manager?
On the Pro tier we connect to what you already run rather than asking you to move. If your system exposes an API, the bot can read availability from it; if it does not, we work off a rate and availability table you keep updated, which is slower to change but still faster than an unanswered email. Be sceptical of anyone who promises a live two-way sync with every PMS in the market — the integrations differ enormously and some are read-only.
What about POPIA?
Guest enquiries are personal information, and a chatbot that collects a name, an email and a travel date is processing it. Three things matter: the guest is told what you are collecting and why, the data stays in your own account rather than in a shared pool, and it is deleted when you ask. Does it work during load-shedding?
Yes, and this is the part overseas comparisons never cover. Your landline, your Wi-Fi and often your card machine go down with the power. The chatbot runs in the cloud and your guests are on their own phones and their own data, so the enquiry still arrives and still gets answered. For a property in an area on stage four, the bot is answering hardest exactly when reception cannot.
An empty room on a Tuesday in February costs the same as an empty room on the 27th of December. The difference is that in February somebody asked and nobody answered.
What should I do first?
Go through last month's enquiries and count how many arrived outside 08:00–17:00 SAST. That number, times your average room rate, times whatever conversion you think is fair, is the size of the problem. If it is small, keep your money.
